Executive Assistant
Founded in 2015 by a teen computer engineer and high school dropout, Hack Club is a global nonprofit that empowers teenagers to become highly-skilled, creative problem solvers through technology skills development, career-training, and financial literacy.
We are the world’s largest computer science training network for teenagers. We provide education and learning opportunities through: an online community where teenagers from around the world participate in technical challenges, support to more than 850 in-person computer science clubs, and multi-day in-person adventures and coding events known as “hackathons.”
Hack Club is unique; our motto is “by teens, for teens.” At Hack Club teenagers create, build, plan and lead our organization. More than half of our employees are teenagers and our approach emphasizes radical trust, transparency, and a spirit of creative rebellion.
Our co-founder and CEO, Zach, is looking for an exceptional person to support him and keep us moving forward with Hack Club’s excellent work.
What we need from you:
Assist Zach with the day-to-day responsibilities of his position
Monitor and support with scheduling and logistics on Zach’s calendar
Prioritize and track Zach’s emails by responding, forwarding, or highlighting what’s urgent or important, and ensuring needed follow-up occurs
Manage and track down receipts and invoices ensuring timely and accurate submissions
Research questions, gather relevant data, and prepare information for meetings, team syncs, and organizational planning
Participate in management of online projects and outcome tracking
Review project submissions for accuracy and completeness
Flag potential fraud or errors in participant reporting
Support summer interns, volunteers and gap year staff
Preview and prioritize applicants for role eligibility and needed skill sets
Ensure You Ship We Ship (YSWS) creators are enrolled and functional in Hack Club’s financial system (HCB)
Utilizing Air Table, Metabase and HCB, track completed projects by team member, calculate funds owed and request increases to project accounts
Report weekly to Zach on account balances and requested fund additions
Keep the office space running and functional
Order snacks and food items for team working out of headquarters
Track office essentials (TP, soap, water delivery, etc.) to ensure things are stocked and working
Communicate needs with landlord, delivery services, waste management, etc.
Manage the warehouse by visiting the space (at least every other week) to collect needed materials, track inventory and order items as needed
Other responsibilities and tasks as assigned
What we hope you have:

Openness to learning and problem solving
Advanced capacity with data manipulation utilizing spreadsheets and databases
Independence - you’ll complete tasks on your own with limited direction and need to request more information
Management skills - you will not have direct reports, but you will be keeping the organization moving forward
Exceptional attention to detail and capacity to organize
Flexibility - your responsibilities may change as the organization grows and evolves
Technical skills in computer science, coding and/or hardware
Discretion - you’ll have access to confidential and private information
Familiarity with Google Workspace, Slack, and Air Table
Some financial management skills to assist with deposits and invoices
Strong writing skills and the capacity to communicate across a variety of mediums
High proficiency in English grammar, spelling and punctuation
Willingness to try new and creative ideas and move on when things don’t work
Physical Demands: A lot of this job is sedentary and using a computer, but you will be in charge of organizing food orders and the physical warehouse space which requires squatting, standing, lifting and moving boxes. Headquarters is located in an old house and has stairs to access the building and the second floor. You may occasionally join in-person events that occur in a variety of settings and locations.
Location: In-person in Shelburne, Vermont
Hours: M-F 9-5 - some on-call, evening and weekend availability may be required
Pay: $60,000 - $70,000/year
